The Roster Athletics platform supports multiple age groups in any event. This guide will walk you through setting up and using the multiple age group feature introduced in the Set schedule guide, including steps from the main Roster web admin browser and as well as using the CSV file upload feature.
This guide is divided into two sections:
- Setting up multiple age group events in the schedule
- Using the CSV file for multiple age group events
Setting up multiple age group events in the schedule
After creating an event, go to the Schedule page. Click on the age group of your event under the Age Group column or click the three-dots icon on the right-hand side and choose the Change age group link.
Please note:
- The displayed default age group here is set through the Country-specific options → Default age group field in the meet/meeting Details page.
- The set of selectable age groups that appear here is a subset of the entire group of possible age groups that are selectable in the meet Details → Country-specific options → Automatic age group assignment settings. This feature exists to make your list of desired age groups easier to manage for your meet/meeting.
- See the Set up a meeting user guide for more description.
Note that the age group can be changed here in the Schedule anytime. For the example below, you will see that Shot Put is assigned to have multiple age groups competing in the same event.
If the current age group for the event is not set to Multiple, select this option in the Select age group window and hit Save in the main Schedule page. Once you have saved, you can see the event with the Multiple designation in the Start lists view.
Please note: If athletes are already on the start list, individual age groups will automatically be assigned to the appropriate categories when changing the age group to Multiple.
Add athletes to the start lists using the Add athletes button at the upper right-hand side per the usual steps. Later in this guide, we will cover adding athletes to a multiple age group event from a CSV file.
Suppose you have chosen a multiple age group event. In that case, athletes you have added will be automatically assigned to the appropriate age group if they have a birthday/birth year (in the Roster platform) in an available age group you use for your meet/meeting. If no birthday is available or matches an available age group specifically for your meet/meeting, they will be placed in the Senior category by default.
As a side note, in the case you have special age groups for your country or organization/organisation, if an athlete happens to be in overlapping age groups that you have chosen for your meet/meeting, they will be placed in an age group with the following priority: 1. one of the listed regular age groups, if applicable 2. special age group with the narrowest age range, if applicable.
You can also manually assign each athlete (and override any automatic age group assignment) to the appropriate age group under the Age group column (in the example above, 2 shot put athletes are in the Senior category, and one in the U20 category). Once you are done assigning athletes to the proper age groups and hit Save, you will see all the assigned and created age groups on the left-hand side under the Start lists heading. There will be an event summary listed first (in the example above Shot Put - Multiple). Right below this, each age group will also be listed so that you can separately view each group (in the example, this includes Shot Put (6kg) - Multiple, U20 and Shot Put (7.26kg) - Multiple, Senior listings).
You are essentially done and ready for results. The Results page shares the same listing format - summary with all the age groups combined, followed by each sub age-group separately.
Using the CSV file for multiple age group events
For general information on how to add athletes from a file, please see the guide Add athletes from a CSV file. Adding athletes into a multiple age group event or creating a multiple age group event from the file is straightforward. You will list all the athletes for the event and designate their age group as per the normal steps, and then simply assign the same StartListID to each athlete competing in this multiple age group event. This will let the platform know that each of the athletes in their respective age groups are in the same event. If this step is ignored, separate events will be created for each age group instead. Please see the sample file in the Add athletes from a CSV file guide for an example of this.
For the special case of using both separate single age group events and a separate multiple age group event of the same event type, please see the Special case: Using a multiple age group and separate single age groups in the same event type user guide.
