Are you having trouble registering for a competition that requires a valid England & Wales Athletics licence? This guide provides information on the possible reasons for this. You may have the following issues.
The licence is not valid
You’ve added the licence to the athlete’s profile, but a red icon appears next to it, saying it couldn't be validated against the licence server. The cause could be an incorrect licence number or a discrepancy in the athlete’s details between the Roster platform and the EA licensing system.
Roster validates the athlete's name and date of birth (DoB) against the English licence database (Trinity) and requires an exact match. Double-check that the name and DoB are correctly entered in Roster. If they are, the problem resides with Trinity's database.
There are two methods to update data on Trinity:
- Try to update the information yourself at https://myathleticsportal.englandathletics.org/.
- Contact the person or party responsible for the athlete's licence, have them check the exact name and DoB, and correct any mistakes in Trinity.
If the details appear the same and the system still shows the invalid licence message, check if the date of birth format is correct on Roster. You might be using the American date format (MM/DD/YYYY). To change the date format, go to the user settings by clicking the user icon in the upper right corner, select Profile & Settings, open the Display tab and select the date format.
The licence is not valid at the time of the meeting
The athlete has a licence, and selecting the event is possible, but the message "Licence not valid at the time of the meeting" appears next to the athlete. In this case, you need to renew the licence (you may need to contact the person or party responsible for the athlete's licence) and try again after it has been updated, or contact the meeting organiser directly.
